01What it takes over
Enquiries sink inside chat threads. Nobody calls back. The spreadsheet says one thing and the inbox says another. This role exists so that no real bit of interest gets lost.
Answers in messengers and social apps
Writes to the person like a live manager does: short, on point, no 'your request has been received'.
Picks up site and ad leads
Does not wait for the client to work out the phone number themselves. A lead arrives, a person gets an answer.
Helps them choose
Asks what is needed, compares the options out loud, explains the difference in plain words. Does not push the priciest thing by default.
Prices it and sends the terms
Builds the proposal or the invoice from your price list: what is included, what it costs, how to pay.
Does not lose leads
Remembers who was written to, who has gone quiet, who was promised a call back. 'We forgot about it' is not normal.
Follows up without pressure
Comes back politely: did you get it, any questions left? It does not message every two hours.
Keeps the deals honest
The table or CRM shows where each person really stands. 'Almost bought' with no next step never gets written down.
Hands over after payment
When the money lands, it passes the customer to whoever does the work: what they bought, what was promised, where to write.
02How it gets to the result
- 01
Someone writes on WhatsApp, Telegram or Instagram
The person came to you. That is interest. The job is to find out what they need and to help.
Replies fast and on point: who we are, what we can do, what happens next. · Clarifies the task: what they are after, by when, budget only if they raise it. · Offers one or two fitting options, not a three-screen catalogue. · Logs the chat: name, contact, what was discussed, what was promised.
- 02
A lead from the site or an ad
The name and phone number are already there. The person left the contact, so we answer and help instead of interrogating.
Writes or calls the same day, in the first hour if it can. · Introduces itself, says where the lead came from, asks what is needed. · Nobody picks up: a message in the messenger and one more try later. · Never drops a lead 'just in case'. Either it is in work or it is a clean no.
- 03
The call
A short conversation that closes the questions a chat keeps circling.
Prepares first: what the person already asked and what can be offered. · Listens to the task, answers doubts with facts: price, timing, what is in it. · Agrees what comes next and when: a proposal, a meeting, payment, a refusal. · Writes a short recap in the chat afterwards, so nothing gets lost.
- 04
Selection, quote, proposal
The person should see a number and a scope, not another 'let's talk again'.
Takes prices from the price list and stock from what actually exists. · States what is included, what is not, how to pay and how long it takes. · Applies a discount only where the rules allow it. Any other case: to the owner. · Sends the file or the message and checks that it reached the person.
- 05
Reminder and the last step
Silence is not always a no. In most cases the person simply got busy.
Waits a sensible time, then returns with something useful, not 'any news?'. · Answers 'too expensive' and 'let me think' with facts: what can be cut, what the price covers, what the timing is. · If someone says no, it stops. It does not finish the person off. · If they bought, it hands over at once and names who is on point now.
- 06
Order in the deals
So that in the evening you can see who is still waiting for an answer and who is a dead contact.
Every live enquiry carries a next step and a date. · Overdue promises such as 'I'll send it today' close the same day. · Duplicate cards for one person get merged so nobody is written to twice. · Runs the queue once a day: reply, remind, close as refused.

04An ordinary day
- 01
Morning — Who waited overnight
New messages, site leads, promises to call back in the morning. Live people come first, reports second.
- 02
Midday — Chats and calls
Answers, asks what is missing, holds the call, does not leave a thread half open.
- 03
Afternoon — Numbers and papers
Quotes from the price list, sends the proposal or the invoice, checks it arrived.
- 04
Evening — Nobody is lost
Everyone still thinking has a date for the next message. Everyone who paid has a name for who took them on.
05What it will not do, and when it calls a human
- Does not lie about price, stock or delivery dates.
- Does not write 'already sent' when nothing was sent.
- Does not mark a deal paid while there is no money.
- Does not message people who asked not to be written to.
- Does not promise a discount or a bonus the rules do not cover.
- Does not leave a live chat sitting without an answer.
06Who needs this
- Owners who answer their own DMs and WhatsApp
- A small sales team with more inbound than people
- Shops and service businesses where clients write in directly
07Common questions
What does an AI sales manager take over?
The whole inbound flow: replies on WhatsApp, Telegram, Instagram DMs and site forms, works out what the person needs, offers one or two fitting options, prices it from your list, sends the proposal or invoice and comes back to the silent ones. After payment it hands the customer over with what was sold and what was promised.
Which job does it replace, and which does it not?
The front-line manager: incoming chats, calls, product choice, quoting, proposals, reminders, tidy deals. It does not sign the company's contracts and does not invent a price of its own.
What happens when the customer asks for a discount?
A discount outside your price list is not its call — that goes to the owner. Same for large wholesale, government contracts, refunds outside the rules and public complaints.
Will it spam my leads?
No. It returns with something useful instead of 'any news?', answers 'too expensive' with real options, and stops when someone says no. People who asked not to be written to are not written to.
How do I know the pipeline is honest?
Every live deal carries a next step and a date, an 'I'll send it today' promise closes the same day, and duplicate cards for one person get merged. 'Almost bought' without a next step is never written, and nothing is marked paid before the money lands.
